Greetings Christmas Marketplace Volunteers,

My name is Allison Wadkins and my heart beats for helping others and trying to love like Jesus. Our goal at Journey Church is to make real connections with our community during our Christmas Marketplace event by meeting a need to help families shop for Christmas Presents with dignity. Every job of this event is vital to make it all run smoothly. We will have people watching volunteer children and making crafts and watching Christmas movies. We will have smiling faces greeting people and making them feel welcome and escorting them to where they need to go. Registration. Refreshments. Shopping. Wrapping. Carry Out. Each position has an opportunity to make real connections with real people and tell them your story. Our prayer is that if someone needs to know a local church cares about them, that we can be that church. We are already bathing this event in prayer and hoping that you will join us. If you have any questions about your assigned task or something you would like to do we could use you. We have many set up needs that I would love for you to take ownership of this year so please reach out and show up if you are available!! Looking forward to serving with all of you.

 
 

Christmas Marketplace Important Dates:

11/26/23 - Last Sunday for gifts to be returned.

11/27/23- Initial set up/decorating and pricing gifts (lobby & Sanctuary) Send any obvious needs to groups to purchase. 6-7:30pm

11/28/23- Second night of pricing gifts and making a list of anything still needed. 6-7pm

11/29/23 -Last minute shopping needs assigned to shoppers 10am and 5pm

12/1/23 - Get Shopping Carts from ACE and plastic bags for carry out (anytime)

12/2/23- THE BIG DAY

DESCRIPTIONS OF SERVE OPPORTUNITIES:

  • Event Set-Up: Moving chairs out of the middle of the Sanctuary, setting up round tables in their place, setting up dividers in the sanctuary to create an intimate shopping atmosphere, setting up a registration table in lobby, rearranging comfortable seating in the lobby closer to the registration by the welcome desk, the 6 rooms in the Adult Classroom hallway need to be set up for gift wrapping with a long table in each room and wrapping supplies divided amongst them (with list of what we still need created for our last minute shoppers).

    Pricing gifts: making sure each gift has a colored sticker coordinating with how much we are valuing the gift. More expensive gifts= more points and the less expensive gifts = less points. We want each family to be able to get more than 2 gifts per child so none of our gifts will be marked as the full 50 points they are allowed to shop with. Pricing can be a pivotal volunteer position to help our Marketplace run smoothly. As more gifts are shopped week of we will need to keep track of what is still needed

    Refreshments: Baking cookies, muffins, or other treats for CM families and volunteers. (There will be day-of responsibilities too!)

    Shopping Buggy Pick-up: Gazaway Ace is donating shopping carts and said we could pick them up Friday. Ideally we would need someone with a pick up truck to load them and transport them or less ideal would be someone wanting to get them and push them down the street from Ace to Journey.

    Decorating: Piggy backing off of Journey Christmas decor we would like the welcome desk and shopping tables covered with table cloths and Christmas decor or lights.

    Last Minute Shoppers: Journey Groups willing to meet needs of specific age groups lacking in either higher priced gifts or cheaper filler gifts. ( We will send out a blast on Monday, Wednesday, and even Friday before our event on Saturday Dec. 2nd with specifics)

  • Greeters: Joyfully meeting families by the Children’s lobby entrance and escorting children down to the 312 with their parents so they know where they will be and then escorting the parents down the pre-school hallway to the registration desk and staying with them until they have been registered and paired with a shopper.

    Childcare: Watching Christmas movies, playing games, making Christmas Crafts, and decorating Christmas cookies with volunteer children and occasionally shopper’s children, even though they are encouraged to find childcare so the children do not see them shopping for their gifts. We will provide the option each shopping hour. This can be worked in shifts if you are not available the whole day. Volunteer children will be with their parents from 8-9am and 1-2pm refreshments will be provided but if your kids get really hungry you can pack them a lunch box or bring some snacks.

    Registration: Will collect $5 per child the family wishes to shop for. If the family is not present with 30 minutes left in their shopping hour the registration desk will call families to see if they can make it. During the last hour if anyone has missed their time and not answered the phone we can call a few community members to shop for other needs not related to UHSMA.

    Personal Shoppers: Andrea Brown will assign shoppers to pair with families. The shoppers goal is to get to know the family and ask about their kids and things they like, so you are able to help find them if the family has multiple kids we may need 3-4 people per family to help them shop for each child, offer comforting words to make their shopping experience at Journey one full of dignity and blessings. One person will need to keep track of totals for each kid they are shopping for.

    Gift Wrappers: We will have 6 rooms for wrapping but if they are not all filled the extra hands could hunt for different wrapping needs. While wrapping, offer to pray for the families, have gospel conversations, tell them your stories about family/support you receive from church or your testimony in following Christ. Continue to offer hope and encouragement while making their presents look beautiful!!

    Carry-out: After all of the presents are wrapped we will have a team to help load them all in the car so that if any children are present they will not see what all their parents got. After presents are loaded the families will pick up any children still in childcare and leave.

  • Transfer any leftover Toys to the closet in the Connected Foster Care office for foster children needs after last minute contacts have been called by registration to shop.

    Pack up wrapping rooms all extras will go to the Children's Ministry resource room in cabinets to the right.

    Wash/dry/hang table cloths if needed.

    Set up church for normal Sunday morning services, dividers down and chairs in correct places.

    Take shopping carts back to Ace.

    Sweep/Mop floors if needed.

    Take out trash to dumpster.

Christmas Marketplace Day Timeline:

8am- Coffee, Welcome, and Prayer

8:10am - Walk through the flow of the event, everyone checking stations for any last minute needs and refreshment and registration set up, get familiar with your area and adjust things as needed.

8:45am - Prepare for the first shoppers to arrive.

9am- First shopping Hour

10am - 2nd Shopping Hour

11am - 3rd Shopping Hour

Noon -4th and final shopping hour

12:45- start to tear down after last shopper shops in Sanctuary and set back up for Sunday Morning.

1pm- Clean Up and Flip church back to original state (Carts back to ACE)

2pm- GO HOME!
